This is the step-by-step connection manual for every Lead Transfer integration. The destination picker in your workspace remains authoritative: phase-enabled integrations only appear when enabled for that account.
Before you start
- Open Lead Transfer and create an automation.
- Connect the source and destination from the setup screen or Connected Apps.
- Use a test lead before activation. Do not activate a route until the destination shows the expected test record.
- Use source field chips such as
[email],[first_name]and[phone]wherever a destination accepts a template.
Connect lead sources
Meta (Facebook and Instagram) Leads
- Choose Meta (Facebook/Instagram) Leads as the source and select Connect Meta.
- Sign in to the Facebook account that has access to the Page and approve the requested access.
- Return to Apiway, choose the Page, then choose the instant form that collects the leads.
- Continue to a destination and map the form fields. To generate a real Meta test lead, open Meta's Lead Ads Testing Tool while signed in with the same Page access, select the Page and instant form, then use Create lead. Meta can label the button differently by account/language, but it is the control that creates a sample lead for the selected form.
- Return to Apiway and wait briefly for the new lead to appear in the automation's test/result state. Confirm the mapped fields reached the chosen destination, then activate.
Common issue: if a Page or form is missing from either Apiway or the testing tool, confirm the same Facebook account has Page and lead-access permissions in Meta Business settings, then reconnect Meta. A test lead must be created for the exact Page/form selected in the automation.
TikTok Leads
- Choose TikTok Leads and connect the TikTok account that manages the lead campaign.
- Select the advertiser account and the TikTok lead form.
- Choose destination fields, send a test and activate.
Common issue: no form in the selector normally means the connected TikTok user lacks access to the advertiser or the form is not a lead-generation form.
Webhooks (website, form builder or custom service)
- Choose Webhooks as the source and save the automation to obtain its unique webhook URL.
- In the external form/service, configure an HTTPS POST to that URL. Send JSON with stable keys, for example
{"email":"[email protected]","full_name":"Ana Lee","phone":"+1…"}. - Submit a sample form once. Apiway uses that sample's JSON keys as fields available in mapping.
- Map the fields to a destination, test the destination and activate the route.
Common issue: a field cannot be mapped until it appears in a received sample. Send a complete sample payload with every field you expect to use.
Connect destinations
Google Sheets
- Choose Google Sheets, connect the Google account and approve access.
- Select the spreadsheet and worksheet. The connected Google account must have Editor access to that sheet.
- Use Columns mode to map every destination column, or Append mode when the sheet layout is intentionally simple.
- Send a test lead and confirm one new row contains the expected values.
Common issues: “Cannot write to this spreadsheet” means the connected account is not an editor. “Google Sheets range needs attention” means headers/columns changed; reload columns or switch to append mode.
Telegram
- Choose Telegram and leave the default Apiway_official bot selected.
- Open @Apiway_official_bot in Telegram. For a private chat, press Start. For a group, add this bot to the group. For a channel, add it as an administrator with permission to post messages.
- Return to Apiway and enter or select the destination chat ID. A group/channel ID is usually a negative number; if you do not know it, use a Telegram update/ID helper after adding and messaging the Apiway bot, then paste only the numeric chat ID into Apiway.
- Edit the message with lead field chips, for example
New lead: [full_name] · [email] · [phone], then send a test and confirm it arrives in the selected chat.
Common issue: if Telegram rejects the send, make sure @Apiway_official_bot was started/added to the intended chat, the numeric chat ID belongs to that chat, and the bot has posting rights. Channels require administrator posting permission. A custom bot is optional and only needed when your company specifically requires its own bot identity.
Apiway Email Marketing
- Add the Email Marketing app to the desktop if it is not installed yet.
- Choose Apiway Email Marketing as destination and select an existing list or create one.
- Map the source email field; optionally map a name field.
- Test the route and check that the contact is in the selected list.
Phase-enabled CRM and messaging destinations
These integrations appear only in workspaces where they are enabled. Their connection and mapping steps are still useful for imported automations and enabled accounts.
HubSpot — create contact
- Connect HubSpot with OAuth.
- Keep
emailmapped (required), then select properties such as firstname, lastname, phone, company and job title. - Map each property with source field chips, test and activate.
Mailchimp — add or update subscriber
- Create an API key in Mailchimp (search for API keys in Mailchimp, create a key and copy it).
- Connect it in Apiway, select the audience, then map required email plus optional FNAME, LNAME, PHONE and tags.
- Test with a new address and check the audience.
ActiveCampaign — add or update contact
- In ActiveCampaign open Settings → Developer and copy the API URL and API key.
- Connect both values in Apiway, select a list, and map email plus optional name, phone and comma-separated tags.
- Test and confirm the contact/list subscription.
Kit / ConvertKit — add subscriber to form
- In Kit open Settings → Developer and copy the V3 API Secret (not the public API key).
- Connect it, select a form, then map the required email and optional first name.
- Test and confirm the subscriber appears on that form.
Gmail — send email or create draft
- Connect Gmail with OAuth.
- Choose Send email or Create draft, then map recipient, subject and message body. CC, BCC, From, From name and Reply-to are optional.
- Test with an internal address first.
Trello — create card
- Connect Trello with OAuth or a Trello API key/token from trello.com/app-key.
- Select the board, then the list, and map the card title and description.
- Test and confirm the card is in the expected list.
MailerLite — create or update subscriber
- Copy the MailerLite Classic API key from Integrations / Developer API.
- Connect it, select a group and map email plus optional subscriber fields.
- Test and check the group.
ClickSend — send SMS
- Copy the ClickSend username and API key from its dashboard.
- Connect both values, map a phone number in international format and compose the SMS with field chips.
- Test with a permitted internal number before activation.
Recommended recipes
- Fast sales response: Meta form → Google Sheets + Telegram, with name, phone, campaign and ad fields in the Telegram message.
- Newsletter opt-in: website webhook → Apiway Email Marketing or Mailchimp, mapping email and consent-related fields.
- CRM handoff: TikTok form → HubSpot or ActiveCampaign, mapping email, name, phone and campaign tags.
- Internal triage: Webhook → Trello, mapping a concise card title and the full form payload into the description.
After activation
Use Usage to see delivered runs and your available shared credit balance. Use Error log for recovery guidance and the Notifications section to notify email, Telegram, Discord or Slack when a route pauses. See the Lead Transfer overview for billing, ordering and general troubleshooting.
