Lead Transfer receives a lead from one source, normalises its fields, then sends it to one or more destinations. One received lead is one automation run; adding another destination step to that same automation does not create another Lead Transfer run.
What you can connect
Open Lead Transfer, then use Connected Apps or the inline connection control while building an automation.
Lead sources
- Meta (Facebook and Instagram) Leads — connect Meta, select the Page and instant form, and Apiway receives new form submissions.
- TikTok Leads — connect TikTok, choose the advertiser and lead form, then receive new TikTok lead-form submissions.
- Webhooks — use the unique webhook URL from the automation when another form, website or service can POST JSON. Apiway uses the received JSON keys as fields to map.
Google Sheets, Cognito Forms and WooCommerce can also exist as source integrations for imported or preview-enabled workspaces. They only appear when their workspace feature flag is enabled, so do not rely on them being visible in every account.
Destinations
- Google Sheets — add a row to a chosen spreadsheet and worksheet; match each lead field to a sheet column or use append mode.
- Telegram — send a formatted lead message to a bot chat, group or channel.
- Apiway Email Marketing — add or update a contact in an Email Marketing audience when that app is available in the workspace.
Some workspaces may also see phase-enabled destinations: HubSpot, Mailchimp, ActiveCampaign, ConvertKit, Gmail, Trello, MailerLite and ClickSend. The destination picker is the source of truth for what is enabled in the current account.
For exact credentials, field mapping and test steps for each service, read the Lead Transfer integration manuals.
How an automation works
- Create an automation and choose a source.
- Connect the source account, then select the Page, form, webhook sample or other source settings.
- Choose a destination and connect its account if required.
- Map source fields such as
email,full_name,phoneand UTM values to destination fields. - Send a test, fix any highlighted mapping or permission issue, then activate the automation.
- When a real lead arrives, Lead Transfer records the result in Usage. Failed or paused routes are shown in Error log with the affected automation and recovery action.
Use additional destination steps when the same lead must go to more than one place, for example a spreadsheet for reporting and Telegram for the sales team.
Examples
Meta Lead Ads to Google Sheets
- Connect Meta and Google in Connected Apps.
- Create an automation: Meta Leads → Google Sheets.
- Select the Facebook Page, the lead form, spreadsheet and worksheet.
- Map
full_name,email,phone_numberand campaign fields to columns, test, then activate.
TikTok lead form to Telegram
- Connect TikTok and Telegram.
- Create TikTok Leads → Telegram, choose the advertiser/form and a destination chat.
- Select the lead fields and edit the message preview; then test and activate.
Website form to two teams
- Create a Webhooks source and copy its unique URL into the website form's POST/webhook setting.
- Send a sample form submission so its JSON fields are available for mapping.
- Add Google Sheets as the first destination and Telegram as an additional destination. Each website submission is stored and sent to the team message.
Set up and test safely
Use a test lead before activation. For Google Sheets, the connected Google account must be able to edit the selected spreadsheet and worksheet. If another Google account owns the sheet, share the sheet with the connected account as an editor. For Webhooks, first send a real-looking sample payload; empty payloads cannot provide fields to map.
Usage, free transfers and credits
Every account receives 10 free Lead Transfer runs per monthly allowance. Usage shows the remaining meter and the account-wide available credit balance. After the 10 free runs, an active paid Apiway plan is required; every further delivered lead uses 2 credits from the shared Apiway balance. If the balance is empty, the automation pauses until the allowance resets or credits are added.
See plans and credits for account billing and Billing to upgrade or add credits.
Errors and recovery
Error log explains what failed, which automation is affected and the next action. A Google Sheets Cannot write to this spreadsheet error means the connected Google account cannot edit the sheet: reconnect Google, grant spreadsheet access on Google's consent screen and confirm the same account can edit the selected sheet. A Google Sheets range needs attention error means columns changed: open automation settings, reload columns or switch to append mode.
Use Get guided help in chat to open the assistant with the exact error and recommended fix. In the Notifications section, enable or disable immediate alerts, choose a different email recipient, use connected Telegram or Discord channels, or save a Slack incoming webhook. Email alerts are enabled by default; Slack webhook credentials are encrypted before storage.
Organize and monitor
Drag automation cards to set their order, or move them into folders from the card menu. Use Usage to see current period activity and Error log to resolve or filter issues. The automation stays paused after a critical error until its setup is corrected and it is activated again.
